If you run on AppFolio, Claude can now hold two connectors that do different jobs. AppFolio Realm-X works inside your AppFolio account: it pulls live records and, on the right plan, makes changes for you. The PropertyManagement.com MCP brings the outside view: what your owners said in their surveys, how your numbers stack up against verified property managers, and charts drawn from your synced history.
Put them in the same chat and you get a loop that neither closes on its own. PropertyManagement.com tells you where you're behind and why owners care. Realm-X digs into the exact units, leases and work orders behind it and helps you fix them.
Who does what
AppFolio Realm-X is your system of record, live:
- Today's units, leases, residents, work orders and accounting, straight from AppFolio.
- Actions inside AppFolio, like updating a listing description, with your approval before anything changes. AppFolio says Core plans get read access and Plus and Max plans get read and write.
PropertyManagement.com is your scorecard and your owners' voice:
- TrueMatch owner survey results: NPS, category scores and written comments.
- Benchmarks from verified property managers for repair speed, days to lease, lease renewal, rent collection and occupancy, plus owner survey benchmarks.
- One-ask charts and KPI cards in the chat, built from your synced history.
- Data from every system you've connected to us, so a Property Meld or RentEngine connection shows up next to AppFolio.
PropertyManagement.com only reads. Realm-X can write, depending on your AppFolio plan. That difference matters for permissions, covered below.
What you'll need
- For PropertyManagement.com: a Client Dashboard login with MCP access in the sidebar, and AppFolio connected in Connect Tools with at least one sync run. During the Alpha, email support@propertymanagement.com if you don't see MCP access.
- For Realm-X: an AppFolio login and an AppFolio plan that includes it. Your AppFolio administrator may need to allow Claude for your company first. Check with your AppFolio account manager if you can't find it.
- A Claude account with connectors available on your plan.
Step 1: Connect PropertyManagement.com
Follow How to Connect PropertyManagement.com to Claude. In short: copy your Organization MCP URL from MCP access, add it in Claude under Customize, then Connectors, then + Add, then Add custom connector, sign in, tick your companies and click Authorize.
Step 2: Add AppFolio Realm-X
In Claude, open Customize, then Connectors, and switch to the Discover tab. Search for AppFolio Realm-X, open it and click Connect. Sign in with your AppFolio login, choose the company database to connect, and approve the permissions AppFolio shows you.
Realm-X comes from Claude's directory, so there's no URL to paste. AppFolio publishes it and maintains it.
Step 3: Set permissions for each one
The two connectors deserve different settings.
- PropertyManagement.com: Always allow. Every tool only reads, so there's nothing it can change. Open the connector under Connectors and set its tool permissions to Always allow.
- AppFolio Realm-X: keep the approvals. Realm-X can change records in AppFolio on Plus and Max plans. Leave Claude's approval prompt on so you see each request before it goes to AppFolio. AppFolio adds its own confirmation before any change goes through.
Step 4: Turn both on in your chat
Start a new chat, click the + button, then Connectors, and make sure both are switched on. Then name the one you want when it matters: "Using PM.com, ..." or "Ask Realm-X to ...". Claude can work out which to use on its own, but naming it gets you the right source on the first try.
Five ways to use them together
Each workflow starts with the outside view from PropertyManagement.com and finishes with work inside AppFolio. Copy the prompts as they are, or swap in your own numbers.
1. The Monday briefing that ends in a to-do list
"Using PM.com, give me my Monday portfolio briefing and compare our repair speed and occupancy to the verified-PM benchmarks. Then ask Realm-X for the open work orders older than 14 days and the vacant units with no showing scheduled."
PropertyManagement.com shows where you stand against verified peers. Realm-X turns the weak spots into a list of real addresses you can assign today.
2. Save an owner before they leave
"Using PM.com, list owners who scored us 6 or lower in our TrueMatch surveys this year, with their comments. Then ask Realm-X what's open on each of their properties: work orders, vacancies, lease end dates and outstanding balances."
You get the owner's own words next to the operational facts behind them. Claude can then draft a check-in for each owner for you to review and send yourself.
3. Find out why repairs are slow
"Using PM.com, chart our work order speed by month and tell me how our median compares to verified property managers. Then ask Realm-X which vendors and work order types make up the slowest jobs from the last 90 days."
The chart and benchmark show whether you have a problem. Realm-X shows where it lives in AppFolio.
4. Lift your renewal rate
"Using PM.com, compare our lease renewal rate to the verified-PM benchmark and graph our lease expirations by month. Then ask Realm-X for every lease ending in the next 90 days with no renewal offer sent."
Turn the gap into a renewal call list before those leases come due.
5. Lease faster
"Using PM.com, how do our days from listing to signed lease compare to verified property managers? Then ask Realm-X for our listings that have been on the market longest and draft stronger descriptions for each."
On a Plus or Max plan, Realm-X can update those descriptions in AppFolio once you approve each one.
Good to know
- Numbers can differ a little. Realm-X reads AppFolio live. PropertyManagement.com reads your last sync, which usually runs daily, and calculates metrics the same way across every property manager so the benchmarks compare like with like. If two answers disagree, ask Claude to show how each was calculated.
- Claude passes what you ask it to. Realm-X takes requests as plain-English messages, so anything Claude includes in a request to Realm-X goes to AppFolio. If you'd rather keep survey comments or owner names out of it, tell Claude: "don't send survey comments to Realm-X."
- Neither one sees the other's login. Each connector signs in on its own. PropertyManagement.com never sees your AppFolio password, and AppFolio never sees your PropertyManagement.com login.
- Benchmarks never name anyone. PropertyManagement.com benchmarks are aggregate and de-identified, so no other property manager's numbers can be traced back to them, and nobody can trace yours back to you.
Troubleshooting
- Claude only uses one connector. Check both are on for the chat under +, then Connectors, and name each one in your prompt.
- I can't find Realm-X in the directory. Your AppFolio plan or admin settings may not include it yet. Ask your AppFolio administrator or account manager.
- PropertyManagement.com shows no data. Your AppFolio sync may not have run yet. Check Connect Tools in your Client Dashboard, then see the troubleshooting section of the connect guide.
- Realm-X asks for approval constantly. That's expected for anything that changes data. For read-only questions, you can set Realm-X to Always allow in Claude, but keep an eye on what it asks to do.
FAQ
Do I need both?
No. Each works alone. Use them together when you want to see how you compare and then act on it in AppFolio, all in one chat.
Does PropertyManagement.com read my AppFolio account through Realm-X?
No. PropertyManagement.com reads only the data your AppFolio connection already syncs to us. The two connectors don't talk to each other. Claude combines their answers inside your conversation.
What if I'm not on AppFolio?
The PropertyManagement.com half of every workflow above works with whatever software you've connected to us. You'd just do the in-system part in your own software, or with its Claude connector if it has one.
