Clean your owner list first
The campaign is only as good as the list behind it:
- Fix emails at the source. The campaign pulls from your property management software, so update missing or stale owner emails there first. Every extra valid address on an owner record, like a spouse or business partner, gets its own invitation.
- Mark former clients inactive. The campaign reads the Active flag on each owner contact, so set it there when a client leaves.
- Scope out HOAs and associations. If some property owners shouldn't get the survey, export an owner directory for just the property groups you want surveyed and send it to your PropertyManagement.com contact. The campaign is built from that list instead.

- Once you answer, PropertyManagement.com will check in again in about six months.

The first two batches go out and reminders follow on their own. Don't judge the campaign by its first week: across completed managed campaigns since July, nearly two out of three responses arrived after a reminder.

Never share a survey link
Every property owner gets their own link, and each link works once. A link that gets forwarded or pasted into a newsletter stops working after the first response, and everyone after that sees an error. Point people to their inbox instead: "Look for an email from PropertyManagement.com." If someone can't find theirs, send their name to your PropertyManagement.com contact and they'll get a fresh one.
Give property owners a reason to answer
People respond when the benefit outweighs the effort. The same Cochrane review found that monetary incentives almost double the odds of a response, for email and paper questionnaires alike. So ask yourself how valuable structured feedback from your clients is, and what decisions it will help you make about your business, team, and process.

Beyond incentives for your clients, consider internal incentives. Get your team excited about collecting feedback: everyone wonders what their clients really think. Make it fun and rewarding, and make it clear the goal is responses, with nobody penalized for what comes back.
