The VPI: Property Management’s Vendor Scoring System Explained

The property management software and services market is often a "black box" of pay-to-play rankings and incentivized reviews. To provide property managers with a truly objective way to evaluate software and service vendors, we developed the Vendor Performance Index (VPI).

The VPI is a proprietary 0–100 scoring system that quantifies vendor effectiveness based on real-world outcomes. It uses a dual-score architecture and bias-mitigated survey data to produce ranked profiles for vendors on PropertyManagement.com’s TrueMatch platform. Below is the transparent breakdown of our methodology—the math behind the match.


1. The Core Variables: What We Measure

A vendor’s raw VPI score is a weighted index of six survey variables. To ensure a level playing field, every input is normalized to a 0–100 point scale before weighting.

  • Net Promoter Score (NPS) | 40% Weight: The ultimate measure of loyalty. Promoters (9-10) earn 100 points, Passives (7-8) earn 50, and Detractors (0-6) earn 0.
  • Performance | 20% Weight: A composite metric evaluating overall satisfaction, ROI impact, and platform adoption.
  • Ease of Use | 15% Weight: How intuitive the software or service for the property managers who use it daily.
  • Support Quality | 15% Weight: Measures responsiveness, resolution effectiveness, and human accessibility when things go wrong.
  • Pricing Perception | 5% Weight: A categorical assessment of whether the tool is "well-priced" versus "overpriced" for the value delivered.
  • Industry Credibility | 5% Weight: The vendor's reputation and trust rating within the broader property management community.

2. Solving for Bias: The 2:1 Trust Ratio

The biggest challenge in rankings is "happy customer" bias—vendors often only send survey links to their most satisfied clients. To maintain objectivity and account for potential selection bias, we apply a two-tier weighting system to every review:

  • PropertyManagement.com Data (Weight: 2): Reviews produced via our organic discovery or neutral newsletter outreach are given double the weight. This data is prioritized as it represents objective, third-party sourced feedback.
  • Vendor-Sourced Data (Weight: 1): Reviews submitted via a vendor’s unique survey link are valued at standard weight to ensure a balanced perspective.

3. Ensuring Recency: Freshness Decay

Software and service quality moves fast. A five-star review from three years ago shouldn't carry the same weight as a review from last month. We use a Review Freshness Decay model to keep the leaderboard current.

Responses are adjusted in 6-month stages:

  • 0–6 Months: 1.0 multiplier (Full weight).
  • 6–12 Months: 0.75 multiplier.
  • 12–18 Months: 0.50 multiplier.
  • 18–24 Months: 0.25 multiplier.
  • 24+ Months: Expired (Contributes zero effect to the score).

4. Statistical Fairness: Bayesian Smoothing

One of the most common issues in online rankings is the "newcomer anomaly," where a vendor with a single 5-star review ranks higher than a veteran with hundreds of 4.8-star reviews.

To prevent this, every public score is "pulled" toward the Global Average (77.7) until significant volume is achieved. We use a Confidence Factor (C = 7), meaning a vendor needs a baseline of weighted reviews before their own data can meaningfully override the market average. This ensures that "Verified Leaders" have earned their spot through consistent performance over time.


5. Momentum: Identifying the Trailblazers

While the VPI score measures current standing, we also track Momentum. This is a display-only tag that compares a vendor's raw VPI from the last 90 days against the prior 90-day window to identify user sentiment trends.

  • Surging: A significant upward surge in 90-day velocity.
  • Stable: Consistent performance with no meaningful change.
  • Declining: A downward trend in user sentiment.
