How often do you inspect my property?

Regular inspections are one of the most important ways we protect your investment and keep everything running smoothly. At Pros PM, we conduct FREE semi-annual inspections while residents are living in the home, which are completed through our zInspector system. This process allows residents to walk through the property and document its condition with pictures required, giving us real-time visibility while keeping things efficient and consistent. These check-ins help us stay ahead of routine maintenance, catch small issues before they become bigger and more expensive, and ensure the property is being cared for according to our standards. We also complete inspections at key moments throughout the lifecycle of your property: Move-in inspections to document the condition before a resident takes possession; Move-out inspections to assess any changes or potential damages; Unit turn inspections to ensure the property has been updated correctly. Each inspection is thoroughly documented, with photos of every area uploaded directly to your file. This gives us a clear record over time and provides valuable protection in the event of questions or discrepancies. If the property is vacant, you’re welcome to walk it at your convenience. Once a resident is in place, any access must be coordinated through our team to determine which options are available. Our goal is simple: stay proactive, protect your property, and give you full visibility into how your investment is being maintained.

When do I receive payments and statements?

We believe in paying our clients as quickly and seamlessly as possible. Owner statements and draws are sent out between the 5th and 10th of each month. This includes all activity from the prior month. Each month, our owners will receive an owner packet containing all financial information for their property from the previous month. They will see their owner statements, invoices paid on their behalf, and cash out for items such as utilities. The disbursement is paid directly through the Automated Clearing House (ACH) and will be deposited into the bank account the owner selected during onboarding.

Do my residents need renters insurance?

Rental insurance adds an extra layer of security by helping cover damages that may occur during a resident’s stay, especially in situations that fall outside of standard maintenance or typical resident responsibility. It’s one more way we help reduce risk and protect your asset. At Pros PM, we require all residents to have, at a minimum, $100, 000 of liability protection to help protect your assets. We partner with LeaseGuard to ensure this is followed through on one of the following options: 1) Provide their own renters insurance policy that meets our requirements, upload it to their account, and verify it through LeaseGuard. This option protects both your property and their personal belongings, as per their policy. 2) Enroll in LeaseGuard’s waiver program for $20/month. This provides $100, 000 in coverage toward your property, though it does not cover the resident’s personal belongings. Residents are automatically enrolled in this option if they do not verify a separate policy through LeaseGuard. Liability coverage is important for damages resulting from the resident's negligence. Depending on the specifics of the policy, it can provide the resident with protection if someone is injured at their rented home or apartment. But we always want to encourage them to get a full renters insurance policy. For owners looking for even more protection, additional coverage per door is available through Surevestor. Our goal is simple: to ensure your property is protected from multiple angles without adding complexity to your ownership experience. What happens if a resident is late paying rent?

Rent is due on the 1st of each month and is considered late after the 3rd at midnight. From there, we follow a structured process focused on communication, resolution, and the protection of your investment. Our priority is always to resolve payment issues early. We make consistent, multi-channel contact attempts to every financially responsible resident and any guarantor. We work to set up payment whenever possible, keeping evictions as a last resort. Our goal is simple: protect your income, maintain consistent communication, and resolve issues as quickly as possible, while minimizing disruption to your investment. Communication & Action Timeline: Day 1 – Rent is due: The resident receives an email reminder. Day 2 – Grace period: All residents receive an email and text reminder. Day 3 – Rent is late at midnight. Day 4 – Late status begins: All residents receive an email and text reminder, and a 12% late fee is applied. Day 10 – Formal notice: We send both an email and a mailed letter to the resident. Day 23 – Eviction process begins: If payment has not been received.
